Terms & Conditions

In these booking terms & conditions, references to “you” or “your” include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred. “We” or “us” means Glamping in Kent. Please read these conditions carefully as they govern the relationship between us, and set out our respective rights and obligations.



General

  1. Your booking must be made for camping or glamping purposes only. Any other activities will not be permitted.
  2. The Bell Tents and Grass Pitches will be available for check in between the hours of 2pm and 5pm. If you are arriving later than 5pm please let us know and we will see if we can accommodate you. Please note we CANNOT accept early check-ins due to staffing restrictions.
  3. Departures please vacate by 10.00 Hrs for when staying in our Bell and Emperor tents, grass pitches please vacate by 12.00Hrs the extra time is to give the tents time to dry out, Bell and Deluxe Family Bell tents as well as grass pitches must be left in the state they were found, and be clear of all rubbish.
  4. The size of tent and number of people on each Grass pitch must not exceed the maximum capacity indicated at time of booking. Our pitches are 10m Wide and 11m Deep, suitable for a maximum 6-man tent.
  5. No lights or illuminations with naked flames are permitted to be used within the Bell and Deluxe Family Bell Tents.
  6. No BBQs are to be lit inside the Bell and Emperor tents. All BBQs must be lit at a safe distance away from the tent itself. They must be off the grass. BBQ use can be suspended at any time.
  7. Glamping in Kent is an unlicensed facility, and we cannot promote, sell or manufacture alcohol.
  8. We try to maintain a good relationship with our neighbours and landowners around us so please help us by NOT walking through their fields and orchards unless there is a public footpath
  9. Whilst the information on our website is correct at time of publishing, we reserve the right to change any of the prices, services, or other particulars contained in published information at any time before we enter into a contract with you.



Occupancy

  1. We only allow a maximum of 6 people (including infants) per pitch
  2. Persons under the age of 18 are not permitted on the campsite unless accompanied by an adult over the age of 25 (proof of age may be required). Being a family based campsite, we are unable to accept stag, hen, or adult parties
  3. Please note ALL children must be supervised at all times around the campsite
  4. Campsite visitors must be met at the entrance by the campers they are visiting. Visitors intending to stay later in the evening are asked to please pass on their car registration number on arrival



Contract and Warranties

  1. Once we have accepted your booking and payment, a contract has been entered into, which includes these conditions, and such contract is governed by English law.
  2. A payment of all required amounts when they are due is of essence of the contract.
  3. When you make a booking, you warrant that you are over 25 years old and accept full responsibility for all persons who will use the property during the period booked and you have read all the Terms & Conditions.
  4. Glamping in Kent reserves the right to cancel your booking in any circumstances.



Booking

  1. The lead booker must be a member of the party and aged 25 and over
  2. We do not accept reservation requests by e-mail or telephone. All bookings are to be made via our website online. All bookings are confirmed by Glamping in Kent via e-mail upon confirmation of receipt of funds for a deposit or full payment into Glamping in Kent’s account.
  3. At the time of booking, you are required to pay a deposit. If your booking is made within 30 days of arrival, you will be required to pay the full amount at time of booking.
  4. Should any additional members be added to the booking at a later date, it remains the responsibility of the lead name to ensure that any such members agree to be bound by these terms and conditions and are in receipt of all relevant information relating to the booking.
  5. We will endeavour to meet any special requests advised to us at the time of booking and confirmed in writing. We do not accept bookings that are conditional upon any requests being met.
  6. If you book via our website or have opted in other circumstances for us to contact you via e-mail, we will communicate with you using the e-mail address you have provided. We will assume that your e-mail address is correct and that you understand the risks associated with using this form of communication.



Payments

  1. All payments are made to Glamping in Kent and VAT is included at the prevailing rate. Our prices include VAT where appropriate. If VAT rates change, we reserve the right to amend our prices accordingly.
  2. A non-refundable deposit of 30% on booking and the balance paid 30 days prior to arrival. You will receive a reminder when your balance is due.
  3. If payment is not received within these terms, your booking will be cancelled and your deposit forfeited.



Conduct During Your Stay

  1. We reserve the right to refuse to accept you as a customer or continue dealing with you if we, or another person in authority, believe your behaviour may become disruptive, threatening or abusive, or if you upset, annoy, disturb, or put our staff in any risk or danger, on the telephone, in writing, or in person, at any time. Whilst at the site during your stay, please ensure that your behaviour and those of your fellow glampers and campers is respectful.



Our Normal Cancellation & Refund Policy

We may cancel your booking at any time before the date on which it begins. We would expect to do this only for essential work or for some other reason unforeseen by us at the time your booking was accepted. In the unlikely event we shall refund in full any money received by us for the booking, but will not have liability beyond this, and, without limitation of the foregoing, and will not have any liability for any other costs incurred by you.

  1. Once you have received your booking confirmation you have 24 hours to amend your booking free of charge or cancel with a full refund, less the payment processing fee. After which in the event of cancellation or early departure by you, we cannot offer refunds.
  2. If you cancel your booking for any reason, you must call us on provided telephone number and e-mail us at; info@glampinginkent.com
  3. Cancellations advised to us by e-mail and phone prior to your stay where full payment has not been received outside of the 24 hours of booking, you will forfeit your deposit amount paid at the time of booking.
  4. Our bookings are non-refundable. Where a full payment has been received, we can offer a date change of which will incur an admin fee of £25
  5. As of 19th July 2021, all covid related issues will now fall under these same terms in respect to cancellation.
  6. If you have any issues concerning the property during your stay, you should notify us immediately (whose names and telephone numbers will be detailed at time of arrival) Glamping in Kent will not normally make any refunds in respect to complaints made after the customer’s departure from the park if the customer did not make the complaint or problem known to the local contact during the stay. In considering any complaint we will take into account whether we have been given the opportunity to investigate and the chance to put matters right.
  7. We accept no liability for any works or activity of any sort occurring on any premises adjoining or neighbouring our property, but we shall endeavour to advise you in advance of the likelihood of any such works or activity.



Loss or Damage

  1. When you book, you agree to indemnify us against all loss and damage arising (including more than normally and reasonably anticipated amounts of cleaning) directly or indirectly to the property and its contents from any deliberate or negligent act or omission by yourself, or any person or animal accompanying you, and without limitation of the foregoing to pay us forthwith written demand our costs in making any such loss, damage and cleaning. Where we have to make a claim, the amount involved will reflect the cost of making good damage to historic and architecturally important buildings and furniture. The cost may include work by specialist craftspeople.
  2. For these occasions stated above, a charge will incur.



Limitation of Liability

  1. Our liability to you and those accompanying you at the property is strictly limited to direct loss up to the amount paid by you on booking, but this does not apply to our liability for
    - Death or personal injury caused by our negligence
    - Fraud or fraudulent misrepresentation on our part
    - Anything else for which liability may not at law be excluded.
  2. We shall not be liable to you at all for any indirect or consequential loss, whether caused by negligence, breach of contract or otherwise. We are also not liable to you for any noise or disturbance from any neighbours or other activities outside the property (including agricultural and street noise)
  3. If you or any member of your party has any medical problem or disability which may affect the booking arrangements of that person, please tell us before you confirm your booking so we can advise as to the suitability of your chosen booking.
  4. We reserve the right to terminate a booking at any time if these conditions are not met in full.



Data Protection

  1. We collect personal information when you visit our site, ask about our services, make a booking, or provide information voluntarily over the phone or by mail. We will not share this information with third party organisations.
  2. This information may include your name, address, contact details, date of birth, credit/debit cards, IP address, and how you interact with our website. By providing us with your personal data, you consent to the collection and use of any information you provide in accordance with the purposes stated below.



This use includes

  1. Fulfilment of orders for goods and services
  2. To improve our products and services or for marketing purposes.
  3. Administration of bookings
  4. Creating a profile of your interests and preferences



Contents Damage Payment

  1. We will hold your card details for 7 Days via the Authenticate and Authorise feature you will be prompted to do 7 days before your arrival and the fee is £100, this is NOT taken from your card at this point to cover any damaged or lost contents obtained during your stay in our bell and emperor tents at Glamping in Kent Turners Folly Field. On departure your bell/emperor tent will be checked, if any contents are seen to be lost or damaged, you will be contacted accordingly to discuss charges. If the accommodation has been left in an acceptable state no monies will be deducted



Vehicles

  1. Vehicles must be driven responsible at all times around the campsite, at no more than 5MPH
  2. Vehicles when unloaded must be parked up the top.
  3. When return to site in the evening please be mindful of other guest regarding headlights and door closing.
  4. Vehicles must not be allowed to tick over, or the revving of engines when stationary
  5. Vehicles are parked at owners risk we except no responsibility for lose or damage



Dogs

Glamping in Kent Turners Folly Field is a dog-friendly campsite, however not all our customers are comfortable in the presence of dogs.  We therefore have the following rules:

  1. Banned breeds (American XL Bully, Pit Bull Terriers/Pit Bull type dogs, Japanese Tosa, Dogos Argentino, Fila Braziliero) (https://www.gov.uk/control-dog-public/banned-dogs) are not to be brought on to the campsite.   
  2. The owner of any dog which shows aggressive or antisocial behaviour will be asked to immediately remove their pet from the campsite which could lead to their stay being cancelled with no refund being provided.  
  3. Owners take full responsibility for their pet at all times including cleaning up after them. 
  4. All dogs should be kept on leads at all times in the camping fields.  The owners of dogs found to be running loose or causing a nuisance will be asked to leave the campsite with their dog with no refund being provided.



Drones

Please do not bring drones or similar devices on to the campsite



Noise

Noise must be kept to a minimum and not to be heard from outside the campsite at any time. Please keep QUIET between 22.30-08.00am as there may be other people that want to sleep, and sounds carries in our small campsite.



BBQ’s/Fires Pits

  1. BBQ’s and fire pits must be kept to where they have been set adjacent to the Bell / Emperor Tents.
  2. No BBQs are to be lit inside the Bell and Emperor tents. All BBQs must be lit at a safe distance away from the tent itself. They must be off the grass. BBQ use can be suspended at any time.
  3. BBQ’s and fire pits are used entirely at your own risk and must be off the ground.
  4. BBQ’s and fire pits must be supervised at all times and put out properly before being left for the night.
  5. Please exercise additional care in high winds, be aware of distance between your fire and your neighbour’s tent.
  6. Please DO NOT light any other fires ANYWHERE else on the site.
  7. Wood and kindling must not at any time be taken from any surrounding trees or log piles on our site. It can be purchased from our onsite shop.

 (Disposable BBQ’s and Fire Pits can be stopped at any time if it is felt they are un-safe, this could include high winds or very dry conditions)



Plants and Trees

  1. Must be respected, please avoid children pulling and climbing on them and damaging them. Green wood and branches should not be torn off for burning or games!



Waste

  1. Our ethos is based on low environmental impact, so please help us keep to that. Waste bins are by the storage container by the entrance; please crush packaging as much as possible. Any food waste please put in food bins provided and make sure the lid is secured properly.
  2. Please do not leave rubbish outside tents overnight, the site must be left as found, with all waste removed. Smokers must use an ashtray of some sort, do not throw butts in the fires or on the ground - they are not biodegradable!



Chemical Waste

There is no facility’s on site for disposal of chemical waste and this includes grey and black water (under no circumstances should chemical waste be poured down our drains as we are on main sewer not septic tanks)



Smoking

  1. Smoking is not permitted in the facilities block.
  2. Smoking is not permitted in the Tents.



Code of Conduct

All our guests are expected to be aware of and follow our Glamping and Camping Code of Conduct.
